The successful candidate will play an important role in keeping the office organized, supporting client interactions, assisting the accounting team, and ensuring that day-to-day administrative activities run smoothly.
Job Information:
- Job Title: Administrative Assistant
- Location: Lagos, Nigeria
- Employment Type: Full-Time
- Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM
- Experience: 2–4 years
Key Responsibilities:
Front Desk & Client Relations:
- Manage the reception area and welcome clients professionally.
- Serve as the first point of contact for clients and visitors.
- Respond to enquiries and direct clients to the appropriate team members.
- Maintain a professional and welcoming office environment.
Administrative Support:
- Screen and respond to calls and emails.
- Manage appointments, schedules, and meetings.
- Prepare reports, correspondence, and other office documents.
- Maintain organized filing and documentation systems.
- Assist team members with general administrative tasks.
Accounting & Practice Support:
- Assist with the preparation and management of client engagement letters.
- Provide support with invoicing and payment follow-ups.
- Assist with collecting and organizing documents required for audits and tax filings.
- Support the accounting team with administrative tasks related to client engagements.
Office Operations:
- Coordinate office supplies and ensure necessary materials are available.
- Assist with travel arrangements and logistics.
- Support vendor management and communication.
- Help organize company meetings, events, and other office activities.
Records & Confidentiality:
- Maintain accurate and well-organized company and client records.
- Handle confidential client financial information responsibly.
- Follow document retention and record-management procedures.
- Ensure sensitive information is protected and only shared with authorized individuals.
Qualifications & Requirements:
- A Bachelor’s Degree or HND in Business Administration, Office Management, Accounting, or another related field.
- 2–4 years of experience in an administrative role. Experience in an accounting, legal, consulting.
- Excellent written and verbal communication skills, with the ability to communicate professionally with clients, colleagues.
- High level of integrity, confidentiality, attention to detail, reliability, and the ability to handle multiple tasks effectively.
- Strong ability to prioritize tasks, manage schedules, maintain records, and work efficiently in a fast-paced environment.
